Managing a Nonprofit Organization

It’s not exactly “rocket science” but some people still don’t know how to do it.

Recently I was adding up the number of Board of Directors I have served on over the years for nonprofit organizations. This includes computer societies, fraternal organizations, homeowner associations, even Little League. The number was over 50 where I have served in some capacity or other, everything from president, to vice president, secretary, division director, finance chairman, publicity and public relations, newsletter editor, webmaster, even historian. In other words, I think I’ve learned a thing or two about nonprofit organizations over the years. One of the first things I learned early on is that unless you manage the nonprofit group, it will manage you.

Running a nonprofit group is not exactly rocket science and is actually pretty simple, but surprisingly few people grasp the basics and end up bungling the organization thereby creating upheaval for its constituents. If you are truly interested in properly managing a nonprofit group, consider these ten principles that have served me well over the years:

Know the rules

Get a copy of the governing docs, read them, and keep them with you. Do not try to hide them. In fact, make them available to your constituents either in paper form or as a download on the computer (such as a PDF file). Got a briefcase dedicated to your group? Keep a copy of the docs in it and, if an electronic version is available, place an icon on your desktop to quickly access it.

Get to know your constituents

How can you expect to adequately serve them if you do not know what their interests are or the group’s priorities as they perceive them? They won’t always be correct, but understand their perceptions and deal with them accordingly. You might want to circulate a survey to get their view on certain subjects, and to solicit their support.

Communicate

Not only with the other members of the board, but with your constituency as well. Failure to do so only raises suspicions about what you are doing. Newsletters, e-mail blasts, and web pages are invaluable in this regard, particularly the latter where you can post news, governing docs, contact information, meeting minutes, audit reports, correspondence, etc. Simple communications will clear up a lot of the problems you will face as an officer on the board.

Administer

Keep good records, regardless if government regulations require it or not. Whether you are maintaining records with pencil and paper or by computer, it is important that accurate records be maintained, particularly about the group’s membership, logs of activities, attendance, finances, minutes, etc. It is not really that complicated to perform; you just need someone who pays attention to detail. Don’t have the manpower to do it yourself? Then hire someone, such as a management company, who can competently keep track of things.

Lead – people like to know where they are headed

If you are in charge of the group, articulate your objectives and prepare a plan to get you there. Also, do not try to micromanage everything. Nonprofit groups are primarily volunteer organizations and the last thing they want is Attila the Hun breathing down their necks. Instead, manage from the bottom-up. Delegate responsibility, empower people, and follow-up. Make sure your people know their responsibilities and are properly trained. Other than that, get out of their way and let them get on with their work.

Add value to your service

People like to think they are getting their money’s worth for paying their dues. In planning your organization’s activities, be creative and imaginative, not stale and repetitive. In other words, beware of falling into a rut. Your biggest obstacle will typically be apathy. If your group’s mission is to do nothing more than meet periodically, make it fun and interesting, make it so people want to come and participate. Try new subjects, new venues, new menus, etc. Even if you are on a tight budget, try to make things professional and first class. Change with the times and never be afraid of failure. You won’t always bat 1.000 but you will certainly hit a few out of the park and score a lot of runs.

Keep an eye on finances

As officers of the Board, you have a fiduciary responsibility to maintain the group’s finances and report on their status. I cannot stress enough the importance of having a well thought-out and itemized budget. Operating without one is simply irresponsible. And when you have a budget, manage according to it; if you don’t have the money allocated, don’t spend it. Obviously, you should also have routine finance reports produced (at least on a monthly basis) showing an opening balance, income, expenses, and a closing balance. Most PC based financial packages can easily do this for you. At the end of the year, perform a review of your finances by an independent party, either a compilation as performed by a CPA or a review by an internal committee. Post the results so the constituency can be assured their money has been properly handled.

Run an effective meeting

Nobody wants to attend an inconsequential meeting. Whether it is a weekly/monthly board meeting or an annual meeting, run it professionally. Print up an agenda in advance and stick to it. Start and end on time and maintain order. Got a gavel? Do not hesitate to use it judiciously. Maintain civility and decorum. Allow people to have their say but know when issues are getting out of hand or sidetracked. And do yourself a favor, get a copy of Robert’s Rules of Order and study it.

Beware of politics

Like it or not, man is a political animal. Politics in a nonprofit group can get uglier than in the corporate world. Some people go on a power trip even in the most trivial of organizations. Try not to lose sight of the fact that this is a volunteer organization and what the mission of the group is. Keep an eye on rumors and confront backstabbers, there is no room for such shenanigans in a nonprofit group. If you are the president, try to maintain an “open door” policy to communicate with your constituents. It is when you close the door that trouble starts to brew. Also, ask yourself the following, “Who serves who?” Does the board serve its constituents, or do the constituents serve the board? If your answer is the latter, then dissent will naturally follow.

Maintain control over your vendors

Try to keep a good relationship with those companies and people who either work for or come in contact with your group, particularly lawyers. Always remember who works for whom. I have seen instances where attorneys have taken over nonprofit groups (at a substantial cost I might add). The role of the lawyer is to only offer advice; he or she doesn’t make the decision, you do (the client). One last note on vendors, make sure you maintain a file of all contracts and correspondence with them. Believe me, you’re going to need it when it comes time to sever relations with them. Keep a paper trail.

Bottom-line

un your nonprofit group like a business. Come to think of it, it is a business, at least in the eyes of the State who recognizes you as a legal entity (one that can be penalized and sued). There are those who will naively resist this notion, but like it or not, a nonprofit group is a business. Consider this, what happens when the money runs out?

I mentioned earlier that you might want to hire a management company to perform the administrative detail of your group. To me, this is an admission that the Board is either too lazy or incompetent to perform their duties (or they have more money than they know what to do with). Just remember, it’s not rocket science.

Enjoy Every Moment

And take nothing for granted.

Christmas is rapidly approaching and if 2016 taught me anything, it is to enjoy every moment.

I had a doctor friend pass away a couple of months ago. At 65 years old, he appeared to be in the pink of health, but was suddenly struck down by Leukemia and a stroke. Despite all of the attempts to save him, which were considerable, he lasted 103 short days before passing away. At the end, his body was emaciated, so much so, his coffin was closed for his funeral.

He was a good man, good father, trusted and dependable doctor, and was dedicated to his church. We would often see him at lunch at a nearby restaurant where we would discuss at length the world’s current events and share a few laughs. His wife is a peach with a great sense of humor. They were blessed to have raised a fine son and daughter, and were now beginning to enjoy their grandchildren.

His medical practice was successful which afforded him an opulent house on the Gulf of Mexico, sports cars, and season tickets to the Tampa Bay Rays. His passion for baseball included coaching his son and friends in Little League. He also possessed a civic duty and readily volunteered his time and donated money to several charities and his church.

Hundreds of people attended his funeral and during the ceremony several people stood up to say a few words in remembrance of him. His son struggled with the eulogy, but somehow got through it. Several tears were shed; it was quite touching.

Despite all of his success and generosity, watching him struck down so suddenly caused several of us to consider how precious life is and why we shouldn’t take it for granted. When you are young, there is a tendency to feel invincible, causing you to overlook life’s little intimacies which we should relish, but commonly overlook.

This was reinforced over the Thanksgiving holidays when we had a member of the family suffer through respiratory failure, but fortunately is now on the mend. It was scary for all of us. I had another friend whose mother tripped and fell just before Thanksgiving, thereby causing her to break her hip requiring surgery to replace it. Another friend had a foot operation, and several others experienced severe colds.

I mention this because we normally host a party at noon on Thanksgiving with friends and neighbors. We call it the “half time” party as it allows people to escape the kitchen for awhile and share a glass of cheer. Unfortunately, due to all of the medical problems, we couldn’t hold this little get-together this year, and we all missed the camaraderie.

From all of this, I’ve learned to appreciate every moment; to sit and talk, to laugh, to listen, to help and support, to take pride in our work and pastimes, to become a benefit as opposed to a burden on others, to be grateful for our health and the simple joys of life, to take nothing for granted, and to simply enjoy every moment.

Getting Burned

Some people have to learn the hard way.

I had a situation where I was working with a young Systems Analyst who was ambitious but a bit naive as to the field of information systems. Nonetheless he wanted to boldly tackle a major systems project for his company and asked me for advice. I encouraged him to first study the parts of the business the system would serve, specify the end-user information requirements, and produce an overall system blueprint. “No, no, no, I’ve already got it worked out in my head,” he told me and started programming. Although he was very proficient in how to write program code, his software didn’t adequately serve the needs of his users and his project failed miserably.

Regardless of how you try to coach someone, I find it disheartening that a lot of people have to burn their fingers before they learn something. Maybe this has something to do with the cockiness of youth whereby there is a great temptation to leap before you look. It seems impetuousness has a lot to do with this, particularly for those who yearn to make a name for themselves. It’s one thing to have an academic knowledge of a subject, quite another to have practical experience.

When you try to use logic to persuade people, they want to argue with you. 2 + 2 is no longer 4, but 5 instead, or it’s no longer black and white but some shade of gray. When you use examples and case histories to illustrate your point, they believe it is an obsolete analogy to the subject at hand. Frankly, the people who tend to get burned are those who know just enough about a subject to be dangerous, and they will argue you to the ground simply because they are combative and want to wear you out. This leads me to believe there is a fine line between intelligence and stupidity.

I guess what I finally learned is there are certain people who need to get burned and learn the hard way. Consequently, I find I no longer argue as vehemently as before and let people make their own mistakes as long as it doesn’t affect me personally. I’ll still be willing to offer my advice, but I’m just not going to try to shove it down anyone’s throat.

In closing, I am reminded of the old story of two bulls, one old and one young, who were standing on a hill overlooking a herd of cattle. Being a bit impetuous, the young bull said to his elder, “How about we charge down the hill, snort loudly, and make love to a couple of cows?” The old bull replied, “I have a better idea; let’s quietly sneak down the back of this hill, slip around from behind, and get the whole herd.”

Politics at the Dinner Table

Do we use this as an opportunity to reason and discuss?

During this past Thanksgiving holiday, we were admonished by several talking heads on television not to discuss politics at the dinner table in order to maintain peace and harmony. I vehemently disagree as I see this as more political correctness running amok.

As we all know, our young people are no longer learning the important lessons of civics and history at the high school level, and college professors are twisting American history in order to make us feel guilty about our past. Concepts such as “American exceptionalism” and “Manifest Destiny” are very much frowned upon by liberal professors who are busily rewriting history and reshaping the perspective of our past.

So, if youth is truly not learning the lessons of government, what better place to do so than at the dinner table? For starters we should use this opportunity to determine what our youth are learning in school, how it affects their perception of our country, and clear up any misconceptions. For example, ask about their patriotism. Do they stand for the flag and recite the pledge of allegiance? Do they regularly vote? Do they understand their responsibilities for serving on a jury? What is their understanding of current events?

Discussion should allow for the open exchange of ideas, not unilateral. I don’t mind an opposing view, but I want to know why they have it, and certainly do not want to ostracize the person. In my day, everything was on the table for review, including drugs, religion, politics, war, law and order, sex, etc. The discussion should be more in the form of a debate as opposed to hotheaded slander or sarcasm. Interestingly, I find this is more easily done with conservatives as opposed to liberals who are trained to passionately attack rather than reason.

As to history, discuss the necessity of the Declaration of Independence, the US Constitution, and the Bill of Rights. What were the events leading up to the Civil War, World Wars I & II, as well as Korea and Viet Nam? Do they understand the “Domino Theory” of communism? What are the differences between capitalism and socialism, or Democrats vs. Republicans, liberals vs. conservatives? What is gerrymandering and the electoral college?

There is a lot to discuss at the dinner table. Failing to discuss such subjects does nothing but promote ignorance and encourages misunderstandings that may lead to emotional meltdowns as we saw recently following the 2016 elections, but even worse, withdrawals from our obligations as citizens.

Christmas is rapidly approaching, and we’ll once again gather around the dinner table. If you want to stick your head in the sand as the pundits suggest, be my guest. As for me, I’ll have an extra helping of discussion with that turkey and dressing.

Our Fascination with Name Suffixes

– Do we make too much out of them?

I have always been fascinated with our use of suffixes in names, such as “Senior” or “Junior.” I look upon the use of such monikers as a desperate cry for attention. Years ago I had a friend who put “Senior” after his name on business cards. Knowing he had no offspring yet, I asked why he did this. He explained it was wishful thinking on his part to someday have a son to carry on the family name. Of course, he was blessed with a trio of girls and eventually dropped the suffix.

Then there are the people who add Roman Numerals after their name to indicate they are the second, third, fourth, or whatever to bear the same name. I guess they see this as a way to add class and dignity to the family name. I think the highest was a “V” representing five people with the same boring name. I am tempted to add the Roman Numerals “MLXVII” to the end of my name, thereby confusing people or allowing them to believe there has been 1,067 generations of Tim Bryce. That should scare them.

In academia, Doctors use Ph.D. which actually means Doctor of Philosophy, or to be more literal, it is Latin for Philosophiae Doctor. The idea that a doctor is a philosopher in the strictest sense, isn’t very comforting if you are in the hospital where I would rather be treated by an MD (Medical Doctor, or Doctor of Medicine). In business there are the MBAs representing a Master’s degree in Business Administration. Interestingly, you do not see too many people denoting their Bachelor’s degree. I can only assume they are ashamed of the title as compared to the Ph.D. or MBA. As for me, I’m proud to say I hold a BSC degree, representing a Bachelor of Science degree in Communications. I worked hard for this and am proud of the designation, but I do not print it on my business cards.

Depending on the line of work we select, there are often many certifications we can claim. The entertainment industry is full of them, most notably the American Cinema Editors (ACE). In my field, the computer industry, there have been numerous certifications. For example, I was among the first group to hold the Certified Systems Professional (CSP) title which, unfortunately died after the country stopped building information systems and focused on software instead. A Certified Data Processor (CDP) was also a coveted title requiring several weeks of study and testing. This too faded from view and was replaced by something called the Certified Computing Professional (CCP). It kind of sounds like the old Soviet Union doesn’t it?

The industry certification programs were replaced by those sponsored by specific vendors, such as Microsoft, Adobe, Apple, and many others. In Microsoft’s case, there are at least six certification programs that I am aware of, including:

Microsoft Technology Associate (MTA)
Microsoft Certified Solutions Associate (MCSA)
Microsoft Certified Solutions Expert (MCSE)
Microsoft Certified Solutions Developer (MCSD)
Microsoft Certified Trainer (MCT)
Microsoft Certified Educator (MCE)

I would like to meet the guy who refers to himself as “John Doe, MTA, MCSA, MCSE, MCSD, MCT, MCE.” I do not believe there is a business card big enough to hold all this. Frankly, I believe this does more to advertise Microsoft products, than reveals any substantial skill.

Nonprofit organizations make extensive use of titles, particularly the Freemasons, the ancient fraternal organization well known for wearing aprons, sashes and other regalia. They also make extensive use of titles, such as Past Master (PM), Past District Deputy Grand Master (PDDGM), Past District Instructor (PDI), Past Grand Master (PGM), not to mention their prefixes of Worshipful, Right Worshipful, or Most Worshipful. I suspect this was all created to establish some sort of prestige competition. To me, too much emphasis is paced on these suffixes and not enough on the simple word of “Brother.”

A few years ago, I tried an experiment whereby I signed my name as “Tim Bryce, LSMFT” which, of course, are the initials for “Lucky Strike Means Fine Tobacco,” an advertising scheme used for many years. I believe it is still printed on each pack of Luck Strike cigarettes. Nonetheless, very few people picked up on the ruse and were impressed by my title. Not many people asked me what it meant as they didn’t want to appear clueless. However, when someone asked me about it, I would explain what it meant and they would laugh, but then started to think about the point I was trying to make.

In the movie, “The Flim Flam Man,” George C. Scott plays the role of a southern swindler with the name, Mordecai Jones, MBSCSDD, which stood for “Master of Back Stabbing, Cork-Screwing and Dirty Dealing.”

I tend to believe we rely too heavily on these name suffixes. They’re pompous, arrogant and often result in negative political side effects. I’m of the age where I am no longer easily impressed. I have met way too many people with titles who are book smart but cannot produce a work product on time or within budget. I have also done my fair share of travel throughout the corporate world and have seen everything from the boardroom to the trenches. I certainly do not need another title. However, there are people who have led a sheltered existence and want to have their egos stroked with some form of recognition. These are the people who desperately seek such suffixes.

Promoting Morality

BRYCE ON LIFE – Some suggestions.

For several years, the Gallup organization has been monitoring and measuring morality in our country. One glaring statistic always jumps out at me, specifically Americans believe morality is in decline and our values are changing. There may be several causes for this, such as the decline of organized religion, the influence of the media, and the decline of parenting. This has resulted in a new period of unrest where riots, violent protests, and a general disrespect for the law has become commonplace.

The question is, are we doing enough to promote morality in this country? The answer is simple, No. When I was performing research for my book, “Stand Up for MORALITY,” I found there were very few people addressing the problem. I found the New Zealand police trying to teach it, as well as the Israeli military, but aside from organized religion, I found very little in terms of addressing morality in this country as well as others.

There are essentially two elements for an individual’s judgement. First, our perceptions perform an essential role, such as our sense of sight, sound, smell, taste and touch. If we do not perceive a situation correctly, we are likely to arrive at an erroneous conclusion. As a veteran systems man, I can assure you, if the input is wrong, everything that ensues will be wrong. Consequently, people tend to act on impulse as opposed to dissecting a situation correctly.

The second element, is our interpretation of right and wrong, representing our moral judgement. Based on our perceptions, we then calculate what we believe to be a proper course of action which is ultimately based on our values, such as:

Implementation of the Golden Rule; do we want to do unto others, as we want others do unto us, or are we contrary and self-absorbed, only doing what is best for ourselves?

  • Do we believe violence of any kind, be it murder, rape, muggings, is a proper way to socialize?
  • Do we believe theft is justified based on our socioeconomic condition? For example, is looting and theft acceptable for the poor and disadvantaged, as opposed to working to obtain property?

These two elements, perceptions and values, is the basis for our morality. Our sense of society is ultimately based on finding commonality in moral values. It’s a “Birds of a feather” phenomenon whereby we cooperate with people who share our beliefs, and resist those who do not. If all of us possessed incompatible values and perceptions, chaos will ensue. In the past, consistent moral values were taught by organized religion, but as the concept of God has diminished, inconsistent interpretations emerge.

Since organized religion is in retreat, where should we seek our values? I do not believe the government should be the source of dogma, but it would be nice if they could devise a program to promote moral principles. I am certainly not suggesting a marriage of church and state, but rather an institution concerned with funding ethical practices.

I tend to believe nonprofit organizations have a role to play, such as civic organizations who preach patriotism and fair play, be it in Scouting, organized youth sports, the Rotary, Lions, and fraternal organizations, particularly the Masons, Oddfellows, and Knights of Columbus. If such groups opened their doors to discuss morality, or made an effort to recognize moral behavior, they can go a long way to changing the public’s sense of right and wrong.

Business can play a role within their organizations by establishing a code of conduct and strictly enforcing it. After all, there is little point in creating legislation if there is nobody to enforce it.

Finally, something has to be done about rating Hollywood movies and television shows. If aliens are monitoring our airwaves, they probably believe we have a propensity for violence, our sense of comedy is crude, we are narcissistic and resist cooperation, and are bent on the destruction of our own species. No wonder they don’t want to land here!

However, if we were to focus on promoting moral behavior, we would likely experience less crime and violence, representing a decline in costs, and we could begin to rebuild our country cooperatively.

Then again, maybe I’m just naive in the country’s desire to get along.

Why I No Longer Attend Lodge

I haven’t attended Lodge in quite some time, at least a year and a half. This is quite unusual for someone who devoted his first fifteen years actively participating in Lodge affairs, not just my own, but at the district, zone, and state level. I stopped going when it became blatantly obvious Freemasonry was operating more as a good old boy’s club as opposed to the fraternity it was designed to be, where brotherhood was of paramount importance, not aprons or titles. I still believe in the tenants of Freemasonry, but I no longer find attendance at Lodge to be meaningful or rewarding, be it at my mother Lodge or another. I have been asked by many Brothers, of whom I have the utmost respect, to return to Lodge, but I now find it more burdensome than enjoyable. I actually find Freemasonry to be more interesting over the Internet or through chance encounters than in a Lodge building.

I am relatively well known in Masonic circles thereby becoming somewhat of an icon for those Masons who have abandoned the Craft for other pursuits. In my jurisdiction alone, we have lost over 18,000 members over the last twelve years, averaging an annual decline of approximately 1,500. Year after year we suspend members for non-payment of dues. One must ask, “Why?” Those members I personally know who have dropped out no longer find Lodge meaningful or fun, and fraught with politics and skullduggery. Again, this is not just my Lodge but many others in the area whose membership is shrinking and attendance dwindling. Some of the larger Lodges are so empty, you could play racquetball inside and nobody would know the difference.

It wasn’t always like this though. When I first started going to Lodge in the 90’s, people cared about each other, there were no personal domination issues, and certainly no politics. Masonic education was considered important for success, and our floor work was impeccable. In other words, you wanted to go to Lodge. You didn’t want to miss anything, as it was all meaningful to you. Unfortunately, not so anymore, which is why I am staying away.

I still contend Freemasonry is a beautiful logical concept that is poorly implemented physically. I also suspect this phenomenon is not unique to my jurisdiction, as I have visited many other Lodges. Perhaps the most innovative idea I have seen in recent times is the advent of the “Traditional Observance” Lodge (aka, “TO”) which takes the concept of fraternity much more seriously than regular Lodges and has fun in the process. In other words, they have made it meaningful.

Support Your Local Sheriff

BRYCE ON LAW ENFORCEMENT

– and all other Law Enforcement Officers (LEO). How can we show our appreciation?

Law enforcement officers (LEO) have had a rough year. Between their normal duties and responsibilities, which vary greatly and can be dangerous, they have had to deal with riots, such as in Baltimore and Ferguson, threats by the Black Panthers, Nation of Islam and Black Lives Matter, and officer executions. I like to believe the American public overall supports our men and women in uniform; only the “crazies” want to see them destroyed so anarchy can flourish. Perhaps it is time for the “Silent Majority” to reaffirm their support for the police and sheriff departments around the country. One might ask, “What can I do to show my support?” Plenty. Here are a few ideas:

First, why not buy an officer a cup of coffee or breakfast? The only danger here is that it might be construed you are trying to bribe the officers for small favors. To overcome this problem, buy a gift card for coffee or breakfast and anonymously donate it to your local police station. If you give cards to the sheriff or police chief, I’m confident they would distribute them equitably.

Another movement catching on, particularly in our northern and western states, is the “Coffee with a Cop” program whereby a civic organization or a radio station arranges for citizens to meet with law enforcement officers at a coffee house. This provides an opportunity for residents to ask questions and share concerns, and in the process, build relationships. These “Coffee with a Cop” events are catching on rapidly. Buying a cup of coffee may seem like a small gesture, but on a cold morning it is very much appreciated, as is the support from the public.

Second, for many years, our local Masonic Lodge has held a program for “Deputy of the Year.” Working through the sheriff’s office, a deputy is selected by the department to receive recognition. The Lodge then hosts a dinner where the deputy and his/her spouse are recognized for their service and given a small token of appreciation. The deputy then makes a few comments thanking the group for the award and recognizes the support of his family and unit. It is a very touching and appreciated award.

Third, Christmas is approaching and I know of schools who have invited the family and friends of law enforcement personnel to a special holiday program featuring choral units. Both children and adults particularly enjoy such personal entertainment.

I’m sure there are dozens of other ideas you may have to thank law enforcement for their efforts. It doesn’t have to be a lavish affair either. Just a genuine expression of gratitude, such as young students writing “thank you” cards to local police, or invite LEO to meet and talk with students. A simple hand shake will also do.

Maybe the best way to show your appreciation is to simply obey the law. In this day and age where the nation has been exhibiting a general lack of respect for law and order, it would be refreshing to see people abide by the law. In the process, it would make the job of a law enforcement officer a lot easier.

No, LEOs are certainly not perfect, but we must remember, they are human and are on our side. They are the ones we call when we are in trouble or need protection. It’s a dangerous job, which is why an occasional “thank you” works wonders in cementing relations between the community and law enforcement.

THE FINAL ROUNDUP

BRYCE ON NON-PROFITS

– What I learned during the years I spent on the Board of Directors for nonprofit organizations.

I made an important decision the other day, namely 2016 will be my last year serving on a board of directors for a nonprofit organization. It’s time for someone else to step up to the plate. For forty years I volunteered my time for dozens of organizations. So much so, I stopped counting when I reached fifty Boards. I’ve served on everything from professional societies for management, computers and systems, to homeowner groups, sports clubs, fraternal organizations, and more.

I coached and umpired baseball for ten years, also serving on the board for the local Little League. One day, we held a practice for my boys team and I was shagging balls in the outfield. It was a beautiful day and it had been a good practice. However, as I picked up the last few baseballs, I looked up and realized I was no longer enjoying myself and it had become more laborious than fun. It was at that moment when I realized my days with Little League baseball were over and I retired from it shortly thereafter. That is how I feel today where I am involved with two nonprofits. Following a board meeting, I suddenly realized it was time to go and I made a promise to myself not to extend any more commitments past 2016 when my tours of duty end.

I didn’t serve on these boards for any accolades or titles, just to help make the organizations better. As someone who has seen quite a bit of the world, I didn’t need such pomp and circumstance. As a management consultant I was fortunate to possess the skills needed to assist such groups, for example: I developed and balanced budgets, cleaned up finances, created data bases to manage memberships, developed web pages and promoted them accordingly, created and updated bylaws, took minutes, developed speaker programs, conducted special projects, developed and distributed newsletters and communications to memberships and met some interesting people along the way. Yes, it took some time to perform, but I had a lot of fun in the process. I like to believe I left each place better than I found it, which should be the objective of anyone serving on a board.

The question is, “Was it worth it?” For the professional societies, I met several people, earned their respect, and learned a lot in the process. For homeowner associations, I believe I played an important role in maintaining the value of homes in the community, if not increasing them. For sports clubs, it was a joy watching my kids, both boys and girls, grow and mature into adulthood. I was also appointed or elected as Chairman or Director at District, County, and State levels for a variety of tasks. All of which were rewarding experiences.

I have learned a lot about nonprofits over the years. However, there are primarily three lessons I wish to convey to my readers:

1. Most nonprofit organizations are run by nice people who haven’t got a clue as to what they are doing. They may have the best intentions, but do not understand a nonprofit is a legal entity in the eyes of the state and, as such, needs to be run like a business. No, it doesn’t take “A Village.” It takes business skills. You realize this when the group can no longer pay its bills or are sued. However, if you are lucky to get the right group together as a board, you’ll enjoy effective leadership, smooth administration, stable finances, good communications, and prosperity.

2. The work of a nonprofit is really not that difficult. It may require some time and effort but I have yet to see a truly difficult task in a nonprofit, and you have to remember I have served in just about every capacity. Something that helps immeasurably in this regard, is the development of “standard practices,” for such things as managing finances, membership, and communications to service constituents.

3. Anyone looking for accolades is joining for the wrong reason. They will likely perform little and assume credit for anything done. Such people are worthless for accomplishing anything of substance, and can hurt the spirit of the organization. Some people are afraid to reprimand such parasites fearing it will create a morale problem. The reality is the morale problem was created the moment the person assumed their position. “But they are volunteers, Tim; you cannot fire volunteers.” Yes you can, and Yes you should as their detrimental outlook will spread and cause problems in your group. Besides, if they are not truly doing anything, you have nothing to lose by replacing them. There is no room for politics in a nonprofit, but unfortunately it somehow creeps into most organizations.

However, when you have a board willing to roll up its sleeves and solve problems or tackle new projects with a spirit of teamwork, it can be a very rewarding experience, not only for how it was performed but also for knowing it will serve the institution for many years to come. In other words, you are adding value to the institution, and this is why I joined such groups, to make them better and perpetuate the group.

Now it is time for others to take my place. My generation of Baby Boomers were taught to provide assistance anywhere we could. I have friends who, like me, have served their Churches for years, civic clubs, local schools, hospitals, country clubs, and more, not just now and then, but for many years. However, it is time for someone else to shag the baseballs, to roll up their sleeves, and perpetuate all of these institutions we have come to love and depend on.

I will likely continue my participation in nonprofits but 2016 will be my final roundup for nonprofit board of directors. It has been a heck of a ride.

THE PROBLEM WITH NEWSLETTERS

BRYCE ON LIFE

– Why most end up lining the bottom of bird cages.

I have belonged to a plethora of nonprofit organizations over the years, be it related to Information Technology, management, homeowner associations, sports clubs, political groups, fraternal organizations, school clubs, etc. Most, if not all issue a newsletter either monthly, bi-monthly, or quarterly. Due to rising printing and postal prices, most have gone to an electronic format, be it on the web or in PDF format, which has dramatically cut costs. Regardless, they all pretty much say the same thing.

With rare exception, most newsletters try to put a positive spin on how the club or association is doing. They are typically a public relations piece with the intent of trying to encourage the membership to remain active and attend meetings. As I tend to be intimate with the organizations I participate in, I realize such newsletters offer more facade than substance. They may say everything is great, but the reality is things couldn’t be much worse. Not surprising, participation in nonprofit groups is waning, probably due to the politics involved and changing values. Instead of making meetings meaningful (fun and interesting), most nonprofits have fallen into a rut and do not know how to get out of it.

So, why do nonprofits only report positive trends? They fear their membership would abandon them if they knew what was actually going on. Somehow the quote by Jack Nicholson in “A Few Good Men” comes to mind, “You can’t handle the truth!” This may be so, but I would like to believe the membership would rally behind a cause if they truly believe in the institution and knew what was really going on.

Knowing the calendar of events and what club awards were presented is one thing, knowing the condition of the club is something entirely different. There is an old expression derived from psychology which states, “You cannot treat a patient if he doesn’t know he is sick.” Wouldn’t it be refreshing to see clubs add to the newsletter financial statements, membership totals, or attendance records, along with commentary by the chief executive? We would at least grasp what was going on and come to the aid of the institution.

In every organization I have been involved with, I have found it important the senior officer report on the condition of the organization at least once a year. This is similar in intent to the President’s State of the Union address. Here, the intention is to come clean with the members by discussing such things as: Membership, Facilities, Participation, Finances, Programs, Sickness and distress, Harmony, Relations with similar groups, Charitable activities, and how well we met our Objectives.

Only by disclosing such items in the newsletter would the members comprehend why a dues increase is being proposed, an assessment, or change in policy.

Because most newsletter do not include such items is why I do not take newsletters seriously; they only tell us what they want us to hear. It also explains why most end up lining the bottom of bird cages.

The best surprise is no surprise.
